Specific duties and responsibilities :

  • Prepare bank reconciliations monthly.
  • Monthly payroll preparation as instructed.
  • Ensure that all income is accurately recorded.
  • Develop Work Orders and Subagreements on Salesforce.
  • Assist with proposal costing and program budget management.
  • Assist with year-end reports for projects and the government.
  • Ensure that sufficient funds are always available for office cash needs.
  • Liaise with INSS in processing maternity pay checks, sick pay checks.
  • Ensure that payments are correctly authorized in accordance with PATH policy.
  • Prepare cheques for signature and ensure that all supporting documentation are attached.
  • Scan all transaction vouchers, signed timecards and send thru BOX (PATH application) at monthly basis.
  • Maintain bank accounts and banking affairs under the direction of the International Accounting Service team.
  • Ensure that rent, insurance, utilities and other routine and periodic payments are made and that proof of payment is obtained.
  • Ensure that goods are ordered in accordance with agreed procedures and all required documents are attached to the transaction.
  • Produce and send the monthly Financial Reports, and work with the International Accounting Services team to ensure appropriate coding and reporting for the office.
  • Ensure compliance with PATH administrative and financial procedures and policies, including for local travel and related expenditures and for local workshops and meetings;
  • review requests for training / workshop budgets, travel advance requests and travel expense reports, procurement.

  • Ensure that all staff / non staff travel advance requests and travel expense reports are cleared within 5 working days.
  • Work with the SADM to develop, process, track and monitor contractual sub-awards, including consultant agreements, sub-agreements, subcontracts and work orders.
  • Conduct pre-award capacity assessment of the potential grantees and provide follow-up training to build their skills.
  • Assist in the review and finalization of budgets with the sub-grantees, preparation of contracts / agreements for the sub-grantees, and then following up on compliance.
  • Participate in the closeout of the sub grantees (CBOs) and ensure that all the CBOs submit their final financial and program reports as per PATH and donor rules and regulations.
  • Review all payment requests for local contracts, consultants, workshops, supplies; utilities and equipment, ensuring compliance with PATH policies and ensure adequate documentation of financial transactions.
  • Day to-day bookkeeping and data entry in QuickBooks and Microsoft Excel, labor data entry, and work with the International Accounting Services team to ensure appropriate coding and reporting for the office.
  • Periodically verify sub-grantee finance and programmatic reports for accuracy, accountability and compliance with PATH and donor requirements and conduct periodic field visits and to report on budget performance and compliance with sub-agreements in advance of contractual payments to sub-grantees and update deliverables on Salesforce.
  • Required Skills

  • Excellent written and spoken English.
  • Excellent skills in budget management.
  • Detail oriented, high degree of accuracy, and strong analytical skills.
  • Excellent computer proficiency particularly working with spreadsheets and databases.
  • Excellent facilitation and training skills including experience in building organizational capacity of smaller organizations.
  • Strong communication, organizational and interpersonal skills especially when dealing with a broad range of stakeholders.
  • Required Experience

  • Bachelor’s degree in Accounting, Auditing and management, A minimum five years’ experience with an international organization or NGO in a related field, experience working with and managing sub-grantees, experience in using Quick books an advantage, proven ability to manage a complex and diverse workload under tight deadlines,proven effectiveness working as a team member under minimum supervision, ability to participate effectively in meetings and Skype calls with colleagues from outside the country, sometimes outside of regular office hours.
